Managing your discounts (with Discount Strategies)

Set up discount strategies that automatically offer the right discount based on a pricing group's occupancy.

This article explains how to set up and use discount strategies in Cubby. A discount strategy groups several discounts together and lets Cubby automatically offer the right one based on a pricing group's occupancy, so you set your rules once instead of toggling promotions by hand as units fill up or empty out.

It covers creating a strategy, adding discounts and their occupancy bands, applying a strategy to pricing groups, seeing which discount is currently active, and pausing or deleting a strategy.

How discount strategies work

A discount strategy groups several discounts together. Each discount has its own band, which is the occupancy range (plus an optional vacancy rule) that tells Cubby when to offer it. In other words, a discount carries its terms (the type and amount) and a band (the occupancy window it applies in).

  • Cubby offers the discount whose band matches the pricing group's current occupancy.

  • Only one discount per strategy is active at any time. When occupancy crosses a band's edge (on a move-in or move-out), Cubby switches to the discount whose band now matches.

  • You can apply more than one strategy to the same pricing group. Each strategy offers its own currently active discount.

For example, one strategy on your 10x10 units might hold four discounts:

  • below 40% occupancy, two months free

  • 40% to 65%, one month free

  • 65% to 85%, 50% off the first month

  • above 85%, no discount.

Each of those is a discount with its own band, and Cubby moves between them as occupancy shifts.


Create a discount strategy

  1. Click Pricing in the top nav, then click Discount strategies in the sidebar.

  2. Click Create discount strategy in the top-right corner.

  3. Enter a Strategy name. This name is for your reference only, customers do not see it.

  4. Under Usage, choose how the strategy can be applied:

    • Apply anytime: the discounts can be used on both new and existing leases.

    • Lease creation only: the discounts can only be applied when a lease is created, in the Cubby app and on your storefront.

  5. Add one or more discounts (see the next section).


Add discount bands

A strategy holds one discount per occupancy range. Each discount you add gets its own band, the occupancy window it applies in.

  1. In the strategy, click Add band.

  2. Under Occupancy condition, set the band with From and Up to, both in percent. This is the occupancy window in which the discount is offered.

  3. (Optional) Add a vacancy limit by setting Vacant units. The discount is hidden if the pricing group's vacant units drop below that number.

  4. Choose a Type:

    • Periodic: a discount for a fixed period or until a set end date (for example, the first or second month free).

    • Perpetual: an ongoing discount with no end date (for example, 15% off for active military).

    • Upfront: a discount when the tenant pays charges upfront (for example, buy three months, get the fourth free).

    • Move-in fee: a partial or full move-in fee waiver.

  5. Set the Term, which is the amount and timing for the type you picked. Depending on the type, you can take a Percentage off, a Fixed amount off ($), or Set a new price, and choose when the discount starts and how long it runs.

  6. Enter a Band name. This is the customer-facing name for the discount, and it appears on your storefront checkout and on invoices.

  7. Save, then repeat for each occupancy range you want to cover.

How occupancy ranges work

  • No overlaps. Two bands cannot cover the same occupancy. If their ranges overlap, Cubby shows an error and will not let you save until you fix it.

  • Shared edges. Two bands can meet at the same number. The lower band includes that exact value, and the higher band picks up just above it. For example, with a 0% to 20% band and a 20% to 30% band, a pricing group sitting at exactly 20% occupancy uses the 0% to 20% band.

  • Gaps mean no discount. You do not have to cover every occupancy level. Any range you leave uncovered simply offers no discount. Leaving 85% to 100% without a band is how you say "offer nothing once we are nearly full."


Apply a strategy to pricing groups

A strategy does nothing until you assign it to one or more pricing groups. There are two ways to do this.

From the strategy

  1. Open the strategy and click the Assigned pricing groups tab.

  2. Click Assign pricing groups.

  3. Select the pricing groups you want, then confirm.

From the Standard rates page

  1. Click Pricing in the top nav, then click Standard rates in the sidebar.

  2. Select one or more pricing groups using the row checkboxes.

  3. In the toolbar, click Add discount strategies.

  4. Choose the strategies to add, then confirm.


See which discount is currently active

  1. Click Pricing in the top nav, then click Standard rates in the sidebar.

  2. Open the discounts cell for a pricing group.

  3. Review the Strategy name and Active discount band columns. The Active discount band column shows the discount Cubby is offering right now, based on that pricing group's current occupancy.


Pause, resume, or delete a strategy

  1. Click Pricing in the top nav, then click Discount strategies in the sidebar.

  2. Click the actions menu (the three-dot icon) on a strategy's row.

  3. Choose an action:

    • Pause: stops the strategy. While paused, it is hidden from its assigned pricing groups and cannot be applied to new charges. Its Status changes to Paused.

    • Resume: turns a paused strategy back on.

    • Delete: removes the strategy. This cannot be undone.

Pausing is the way to stop offering a strategy without losing its configuration. You do not need to unassign it from every pricing group.


FAQ

Q: What happened to the discounts I already had?

  • Each existing discount was migrated into its own strategy holding a single discount whose band covers 0% to 100% occupancy. That means it is always active and behaves exactly as it did before. You only get occupancy-based switching once you add more discounts across different ranges.

Q: When the active discount switches, does that affect tenants who already moved in?

  • No. A tenant keeps the discount they received when their lease was created. Bands only change which discount is offered to new quotes and move-ins going forward.

Q: Can more than one strategy apply to the same pricing group?

  • Yes. Multiple strategies can be assigned to one pricing group at the same time, and each one offers its own currently active discount.

Q: What happens when occupancy is in a range I left uncovered?

  • That strategy offers no discount at that occupancy. This is intentional and is how you withhold discounts at high occupancy.

Q: Can a manager hand-apply a discount that occupancy conditions have switched off?

  • No. Right now, when a discount's band is not currently met (either the occupancy range or the vacancy limit), that discount is hidden on the storefront, in the new-rental flow, and in the Discounts section of an existing tenant's Manage rental screen. Setting a strategy's Usage to Lease creation only further restricts its discounts so they cannot be added to existing leases at all.

Q: How quickly does the active discount update?

  • Immediately. Cubby re-evaluates occupancy on every move-in and move-out, so the active discount reflects the latest occupancy for the pricing group.

Q: Do customers see the strategy name?

  • No. The Strategy name is internal. The Band name is the discount's customer-facing name, and it appears on your storefront checkout and on invoices.

Q: Who can use discount strategies?

  • Discount strategies are available to all Cubby operators. Whether a specific team member can create or edit them depends on their permission to manage discounts.
