Analytics: Facility Dashboard

A per-facility view of occupancy trends, financial performance, autopay enrollment, and in-place rents.

The Facility dashboard is your single-facility performance view. It shows occupancy trends, financial health, and rent data for one facility at a time — with detailed charts for each area. Use it for daily monitoring, monthly reviews, or deep dives into occupancy and pricing performance.

Access it from the top navigation: Analytics → Facility.


Filters

Two global filters sit at the top of the page:

  • Facility groups — Optionally filter by a facility group.

  • Facilities — Select the specific facility you want to view. Click Apply to load data for that facility. This selection persists as you navigate between analytics sub-sections.

A Date Filter within the dashboard defaults to the previous 5 months. Adjust it to change the time range for trend charts.


Overview tab

The default view. Gives you a high-level snapshot of facility performance with a trend chart and a full set of today's KPIs.

Unit Occupancy Trend (Date Filtered)

A bar chart showing unit occupancy percentage at the end of each month over the selected date range. Use this to quickly spot occupancy momentum — whether your facility is trending up, down, or holding steady.

Note on data: Occupancy for each month is captured as of the last day of that month (or the current day minus one for the current month). This ensures the chart reflects actual end-of-period occupancy rather than intra-month snapshots.

Summary as of Today

Nine KPI cards update in real time throughout the day:

  • Unit Occupancy — Percentage of rentable units currently occupied.

  • Past Due AR — Total outstanding accounts receivable balance owed by delinquent tenants at this facility.

  • Active Leases In Lien — Number of leases currently in the lien process.

  • Leases Scheduled for Auction — Units with a confirmed auction date.

  • % Tenants on Autopay — Proportion of your active leases enrolled in automatic payment. A strong autopay rate reduces collection work and late fees.

  • MTD Payments — Cash payments received this calendar month (month-to-date).

  • MTD Charges — Total charges created this month (rent, late fees, etc.). This is recognized revenue, not cash collected.

  • Occupied Rate — Sum of all active lease rates at the facility — the total rent income if all occupied tenants pay in full.

  • GPR — Gross Potential Rent: the theoretical maximum revenue if every unit were occupied at its standard rate.

  • GPR Variance — The gap between GPR and Occupied Rate. A negative value means actual rents fall below full potential — typically due to vacancies, discounts, or promotional pricing.


Occupancy tab

Detailed occupancy analytics for the selected facility:

  • Move In / Out Detail (Date Filtered) — A breakdown of move-ins and move-outs by date within the selected period. Shows the net change in occupancy over time.

  • Unit Status (Today) — A table of all units and their current status (Occupied, Vacant, Unrentable). Includes unit name, pricing group, and current tenant where applicable.

  • Occupancy by Pricing Group — Occupancy percentage broken down by each pricing group. Identify which unit sizes are full and which have vacancy to fill.

  • Vacant Units by Pricing Group — Count of vacant units per pricing group. Use this alongside your pricing strategy to prioritize which sizes to promote.

  • Scheduled Rent Changes — Units with a pending scheduled rate change, including the effective date and new rate. Useful for reviewing upcoming rent increases before they go live.

Note on Move In/Out discrepancies: A unit with a future move-in date may appear as "occupied" in the occupancy stats before the tenant physically arrives — this reflects the lease being active, not the physical move-in date. This is expected behavior.


Financial tab

Revenue and payment trends for the facility:

  • MTD Revenue vs. Payments trend — Month-over-month comparison of charges (revenue recognized) versus payments (cash collected). These two lines will diverge when prepaid rent is collected or when payments lag charges.

  • Receipts by payment method — Breakdown of payments by type (credit card, ACH, cash, check, etc.).

  • Late fee and other charge trends — Shows how ancillary charges (late fees, admin fees, insurance, etc.) are trending over time.


In Place Rents tab

A pricing-focused view of your currently occupied units:

  • In Place Rent vs. Standard Rate — For each pricing group, compares the average rent currently being paid by occupied tenants against the current standard rate. Gaps indicate tenants on grandfathered pricing or promotions.

  • Rent distribution — Shows the spread of actual rents being charged across your unit inventory. Use this to identify outliers — units significantly above or below the standard rate.

  • Economic occupancy — Revenue actually collected as a percentage of gross potential rent. A lower economic occupancy versus physical occupancy indicates discounts, concessions, or delinquency are eroding revenue.


Frequently asked questions

Why does my occupancy in this dashboard differ from what I see in the main facility view?
The Analytics dashboard uses a separate data pipeline that may lag the main application by a short period (data typically refreshes every few hours). A unit with a scheduled future move-in may also be counted as occupied in analytics before the actual move-in date, while the main app may show it differently.

My % Tenants on Autopay seems very low. Is that accurate?
The autopay percentage reflects only tenants who have enrolled in Cubby's automatic payment system. Tenants who pay manually each month (even consistently) are not counted. Use this as a target metric and direct tenants to enroll through their online account portal.

What's the difference between Occupied Rate and GPR?
Occupied Rate = sum of all active lease rates (what you'd collect if all occupied tenants pay). GPR = sum of standard rates for every rentable unit, including vacant ones (what you'd earn at 100% occupancy). The GPR Variance shows how far you are from full potential.

Can I set a custom occupancy goal?
The occupancy goal benchmark is not currently adjustable per facility — the system uses a standard reference line. Custom goal thresholds are on the product roadmap.

I can only see the Facility dashboard but not the other analytics sections. Why?
The Facility dashboard is available to users with facility-level analytics access. The Organization, Customer Acquisition, Past Due/Concessions, Leads, and Call Center dashboards require org-level analytics permission. Contact your Cubby administrator to request expanded access.
