Analytics: Organization Dashboard

A guide to Cubby's Organization analytics dashboard — portfolio-level occupancy, revenue, payments, and the facility scorecard.

The Organization dashboard gives you a portfolio-wide view of performance across all your facilities. It aggregates occupancy, revenue, charges, and delinquency data in one place so you can assess the health of your entire portfolio at a glance — without running individual facility reports.

Access it from the top navigation: Analytics → Organization.


Filters

At the top of every analytics dashboard you'll find two global filters that apply to all charts and tables on the page:

  • Facility groups — Filter by a pre-defined group of facilities (e.g. a region or brand). Select one or more groups from the dropdown and click Apply.

  • Facilities — Filter by specific individual facilities. When left blank, all facilities in the selected groups (or all facilities in your organization) are included.

After changing either filter, click Apply to refresh the dashboard. Your selection persists as you navigate between analytics sub-sections.


Overview tab

The default view. Shows your organization's current snapshot:

Summary as of Today

Five KPI cards at the top update in real time:

  • Unit Occupancy — Percentage of rentable units currently occupied across all selected facilities.

  • MTD Payments — Total cash payments received this calendar month (month-to-date). This is actual money collected, not charges issued.

  • MTD Charges — Total charges created this month (rent, late fees, etc.). This represents revenue recognized, not necessarily cash received. Prepaid rent appears in Payments but not Charges until the applicable period.

  • Occupied Rate — The total rent rate of all currently occupied units (sum of active lease rates).

  • Past Due AR — Total outstanding accounts receivable balance across delinquent tenants.

Portfolio Facility Scorecard

A scrollable comparison table listing every facility in your selection with key metrics side by side:

  • Facility Name

  • % Area Occ — Square footage occupancy percentage.

  • % Unit Occ — Unit count occupancy percentage.

  • GPR Variance — The difference between your Gross Potential Rent (100% occupancy theoretical revenue) and your Occupied Rate. A negative variance means your actual rents are below full potential (common when discounts or vacancies exist).

  • GPR — Gross Potential Rent: what you'd earn if every unit were occupied at its standard rate.

  • Prior Month GPR — GPR from the previous calendar month for comparison.

  • AR Balance — Total outstanding receivables for the facility.

  • AR / Occupied Rate — AR balance expressed as a percentage of the occupied rate. High values indicate significant delinquency relative to revenue.

  • MTD Move Ins — Move-ins this calendar month.

  • MTD Move Outs — Move-outs this calendar month.

  • MTD Net Moves — Move-ins minus move-outs this month.

  • MTD Charges / Sq Ft — Month-to-date charges divided by total facility square footage.

  • Prior Month Charges / Sq Ft — Same metric for the previous month.

Cells highlighted in green indicate favorable values; red/pink cells flag values that need attention (e.g. high AR balance).


Trends tab

Shows month-over-month trends across the portfolio:

  • Payments This Month vs. Last Month — Side-by-side bar chart comparing MTD payments to the equivalent period last month.

  • Revenue Trend — Monthly charges per facility over time, stacked by facility. Revenue = charges created (rent, late fees, etc.).

  • Payments Trend — Monthly payments received over time. Payments and Revenue will differ when prepaid rent exists or when tenants pay for multiple periods at once.


Value Pricing tab

Provides a portfolio-level view of pricing performance — how your actual occupied rates compare to your standard rates and the gross potential. Use this to identify facilities where pricing is below market or where discounts are impacting revenue.


Other tab

Contains supplementary portfolio metrics not covered in the other tabs, such as autopay enrollment rates and additional operational statistics across facilities.


Frequently asked questions

What's the difference between MTD Payments and MTD Charges?
Charges = revenue recognized (rent, fees, etc. that have been invoiced). Payments = actual cash collected. Prepaid rent shows up in Payments before it appears in Charges. The two figures should converge over time but will differ within a month.

Why is my GPR Variance negative?
A negative GPR Variance means your actual occupied rate is lower than your gross potential rent. This is normal and typically reflects vacant units, discounts, or promotional rates. Use it alongside % Unit Occ to understand whether the gap is driven by vacancies or below-market pricing.

Can I freeze the Facility Name column in the scorecard while scrolling right?
Not currently — the column freezing feature is a Metabase limitation and is not available in the embedded view.

Why can't I see the Organization dashboard?
The Organization dashboard requires org-level analytics permission. Users with facility-level access only can view the Facility dashboard but not Organization, Customer Acquisition, Past Due/Concessions, or other org-wide dashboards.
