Managing overlocks day-to-day

The daily overlock sweep — identifying who needs a lock, applying overlocks during a walkthrough, and removing them once a balance is resolved.

An overlock is a physical lock added to a unit when a tenant's account falls past the overlock threshold in your lease configuration. This article covers the daily routine: identifying who needs a lock, applying them during a walkthrough, and removing them once the balance is paid.

Who needs an overlock today?

Cubby surfaces overlock candidates automatically based on your lease configuration's days-past-due threshold. To see who qualifies:

  1. Navigate to the Delinquency section.

  2. Filter for tenants in the Overlock stage.

  3. These tenants have crossed the threshold — their units should have a physical lock added.


Adding overlocks during a walkthrough

The walkthrough tool is the fastest way to apply overlocks across a facility. Units requiring a lock are flagged in the walkthrough list with an Add Overlock button.

  1. Start a walkthrough from the mobile app. See Facility Walkthrough (Overview).

  2. Tap the All units dropdown and select Overlocks needed to jump directly to units requiring action.

  3. Once you've physically added the lock to the unit, tap Add Overlock in the app to record it.


Removing an overlock after payment

Once a tenant pays their outstanding balance:

  1. Confirm the payment has posted in their rental record.

  2. Open a walkthrough and select the Overlocks to remove filter to find the unit.

  3. Physically remove the lock, then tap the button in the app to mark it removed in Cubby.


Adjusting the overlock threshold

The days-past-due threshold that triggers the overlock stage is set in your Lease Configuration under the Delinquency step. See Lease Configurations to update it.
