Starting your day with a consistent routine keeps your facility running smoothly — open tasks don't pile up, leads don't go cold, and delinquencies don't surprise you. This checklist covers the key things to check every morning.
1. Check the Home tab
The Home tab is your daily dashboard. Each morning, open it to see:
Open tasks — tasks due today appear at the top. Complete or reassign any that are overdue.
Today's move-ins and move-outs — confirm expected activity so you're ready for tenants arriving or vacating.
New online rentals or reservations — ensure the unit is ready and follow up with the tenant if needed.
2. Review the delinquency queue
Check which tenants are past due and whether any have crossed the overlock threshold since yesterday. Take action on any that require a lock or follow-up notice. See Managing overlocks day-to-day for the daily sweep workflow.
3. Action new leads
Open leads go cold fast. Check for any new inquiries created overnight — online inquiries, phone callbacks, or Voice AI handoffs — and follow up promptly. See How to create a rental lead for next steps.
4. Clear your notifications
Review any new notifications — unsigned documents, AutoPay failures, task assignments, or system alerts. See Responding to Cubby notifications for what each type means and how to action it.
5. Chase unsigned documents
Unsigned lease documents can hold up move-ins and create compliance gaps. If any tenant has had a document pending for more than 24 hours, send a reminder. An unsigned lease on move-in day causes delays that are hard to resolve on the spot.
Add these weekly
Once a week, extend your routine with:
Facility walkthrough — physically inspect units, add overlocks, log conditions, and create tasks for anything that needs attention. See Facility Walkthrough (Overview).
Occupancy and rate review — check if occupancy is trending up or down and whether your rates need adjusting. See Checking occupancy and adjusting rates.
