Understanding Reports in Cubby

This article goes over the different types of reports you can download in Cubby

The Reports section in Cubby is your central hub for accessing valuable insights into your self-storage facility's performance. These reports cover various aspects of your business, including financials (accounts receivable, payments), occupancy, tenant activity, and facility metrics.

You can tailor reports to your specific needs:

  1. Time Period: Generate reports for the Current period (Day, Week, Month, Quarter, Year), the Previous period (Day, Week, Month, Quarter, Year), or select a Manual (custom) date range.

  2. Format: Export your data in either XLSX (Excel) for further analysis or PDF for easy sharing and printing.

  3. Delivery: Download reports instantly directly from the Reports screen, or schedule them to run automatically and be delivered later (check out the 'Scheduled Reports' article for further details).



Below is a list of the standard reports available in Cubby and what information each report contains.




Accounts receivable
All changes made to the accounts receivable (charges, payments, waivers, etc.) within a period.

Aged receivables
Unpaid charges for every tenant account, categorized into 30, 60, 90-day, and 120+ days late buckets.

Balances summary
Balances of all asset accounts through a selected date.

Coverage activity
All leases with coverage (insurance) payment activity in the selected period. Leases that are enrolled in coverage but with no coverage activity in your selected timeframe are excluded. Includes a breakdown of when the coverage payments were made.

Coverage roll
All leases with active coverage at the point within the selected period.

General ledger
Accrual basis summary of accounting changes within a selected period. Suitable for import into your GL.

Gross potential analysis
Current versus potential rents by unit type, with occupancy statistics and a full rent roll. Variances are highlighted in Green.

Historical Management summary
Historical key facility metrics grouped by the selected time period.

This consolidated report includes Payments received, Charges made, Move-in and Move-out activity for the selected time period, information on Leads (leads total, leads converted), Occupancy statistics, Occupancy ratios, Delinquency details, and more.

Lease Compliance
Active leases with incomplete tenant documentation. This report is very useful to get a quick overview of which tenants have an active coverage program, which tenants need to complete their document verification process, etc.

Management summary
Key facility metrics for a specific time period, including historical month-to-date and year-to-date data. This consolidated report includes Payments received, Charges made, Move-in and Move-out activity for the selected time period, information on Leads (leads total, leads converted), Occupancy statistics, Occupancy ratios, Delinquency details, and more.

Merchant services disbursements
All merchant services disbursements to your bank account within the selected month, including the date and batch number.

Occupancy statistics
Occupied and vacant unit statistics by pricing group.

Payment detail
All payments received by the facility, including lease, tenant, and payment reference identifiers.

Receipts by charge type
Cash basis accounting report, allocating payments to charges covering a period of activity.

Receipts by tax category
All payments received by the facility, grouped by tax category.

Receipts summary
This two-sheet report includes a concise summary of receipts by payment method and a detailed listing of all payment activities.

Rent roll
All units, including the active lease balance, tenant contact information, payment dates, and overlock status.

Standard rate management
Provides a summary view of your units, grouped by size, to help manage standard pricing. It details unit statistics (vacant, occupied, total), occupancy/vacancy rates, recent move-in/out activity, the current standard rate for each pricing group, and the date/days since the last price update.
